1. Who we are and what this policy covers
PRETTY DOPE XPERIENCE - PDX RADIO, LLC (“PDX Radio,” “we,” “us,” or “our”) operates Pretty Dope Xperience – PDX Radio and AUX Control.

This Privacy Policy explains how we collect, use, disclose, and retain personal information through getpdxradio.com, AUX Control at artists.getpdxradio.com, our official mobile apps, internet-radio services, listener requests, music submissions, artist accounts, charts, newsletters, interviews, bookings, and related services that link to this policy.

Additional notices may explain specific features. Independent platforms you visit or use have their own privacy practices. This policy does not grant music, recording, publicity, or other content-use permissions; applicable submission terms, releases, and service agreements address those permissions.

2. Adults-only services
PDX Radio and AUX Control are intended for people age 18 and older. Our services include explicit music and mature content. People under 18 are not permitted to use our age-restricted services, create accounts, submit music, or book services.

We do not knowingly collect personal information from children under 13. If you believe a person under 18 has provided personal information through our services, contact [email protected]. When we learn of unauthorized underage use, we will take appropriate steps to restrict access and delete the information, subject to any limited retention permitted or required by applicable law.

3. Information we collect
The information involved depends on the service you use. We collect information you provide, information generated by your use of our services, and information supplied by providers, authorized representatives, collaborators, or rights holders.

Contact and communications. Names, email addresses, telephone numbers, organization or professional role, messages, support requests, feedback, newsletter preferences, and consent or acknowledgement records.

Music submissions and creator information. Artist and legal names; representative details; track and album titles; genre; explicit-content disclosures; release dates; ISRCs and other recording identifiers; contributor and rights-holder details; audio, artwork, biographies, and promotional links; rights and clearance information; AI-use disclosures; and submission, review, correction, and appeal records.

AUX accounts and activity. Email addresses, usernames, authentication records, account status, artist-identity associations, invitation and activation events, login activity, profile information, account preferences, submissions, education progress, support interactions, and activity within enabled account features.

Artist records. Track Records, chart history, airplay statistics, Career Timeline entries, achievements, stat cards, contributor information, rights claims, provenance or recording-lineage records, and supporting evidence where those features are used. 
Bookings, payments, and production. Contact details, scheduling information, intake answers, age confirmations, permissions, releases, service details, transaction references, amounts, payment and refund status, production notes, supplied assets, and interview or session recordings, photographs, transcripts, captions, and edited deliverables.

Technical and usage information. IP addresses, browser and device details, operating system, referring pages, approximate location derived from IP addresses, page interactions, stream connections, listening events, request timestamps, cookie or storage identifiers, and security or diagnostic records. Our providers may process this information when delivering website, app, streaming, embedded-media, or other services.

We do not request Social Security numbers, full payment-card credentials, medical information, or precise device location in ordinary music-submission, contact, or support forms. Do not include unnecessary sensitive information in submissions or email. Where a particular verification or legal process requires additional information, its purpose and requirements will be explained.

4. How we use information
We use information to provide and administer the services you use, including to:

Operate streaming, listener requests, charts, websites, and artist accounts.
Review music submissions, check eligibility and authorization, and communicate decisions.
Maintain artist identities, music metadata, airplay records, statistics, and rights information.
Schedule and produce interviews, studio sessions, and other services.
Process bookings, reconcile payments, handle refunds, and deliver agreed work.
Respond to questions, corrections, complaints, appeals, and rights disputes.
Detect spam, automated requests, manipulation, fraud, unauthorized access, and misuse.
Diagnose technical problems and maintain service reliability.
Meet applicable licensing, royalty-reporting, accounting, tax, contractual, and legal obligations.
Send service communications and, when you subscribe or otherwise authorize them, newsletters and marketing.
Measure service use and improve features, subject to applicable privacy choices and legal requirements.

We may obtain relevant professional or recording information from public sources to verify artist identities, metadata, credits, or rights claims. Providing information about another person requires appropriate authority; include only what is relevant to the service or request.

5. Listener requests, charts, and artist statistics
Request and listening records help us operate programming, calculate eligible chart activity, measure audience engagement, and investigate manipulation. They may include the recording requested, date and time, technical identifiers, and information provided through the request form.

Public charts and artist statistics may show artist names, recording titles, rankings, request totals, plays, and aggregate audience measures. Individual listener contact details and raw technical identifiers are not intended for publication in charts or artist stat cards.

An artist’s recording history is different from a listener’s identifiable activity. Retaining chart results does not create an unlimited right to keep the underlying personal information. Privacy requests and retention decisions are evaluated under Section 13.

6. AUX Control and creator visibility
AUX Control includes restricted account information and features through which artists may share professional content. An invitation or account does not itself make all account information public.

Profile details, posts, artwork, professional links, and materials submitted for publication may be visible to the audience of the relevant feature. Content shared in a member community can be seen and copied by other members; public content may be indexed, reposted, or retained by third parties. Review the feature’s visibility information before sharing.

Private contact details, account information, unpublished submissions, and supporting evidence are used for account administration, service delivery, review, and other purposes described here. Authorized administrators and providers may need access to perform those functions. Other artists are not authorized to access your private account records.

AUX maintains associations between accounts and artist identities so that records can be attributed correctly. Contact us to report an incorrect association, credit, statistic, or record. A provenance or rights entry records information or a claim; its presence does not, by itself, establish legal ownership.

7. Interviews, radio drops, and public media
When you participate in an interview, performance, recording session, or radio-drop feature, we may process your voice, image, professional information, supplied materials, permissions, and related production records.

Authorized recordings and promotional materials may be broadcast, edited, captioned, published, or distributed according to the applicable release or service terms. Public content is distinct from private booking details, payment records, and internal correspondence.

Approved radio drops may be used for PDX Radio station identification, programming, promotion, and AUX Control operations. A privacy request does not automatically revoke a separate recording release or require removal of every lawful public copy. We will evaluate the request and any applicable rights, restrictions, or legal exceptions.

8. Cookies, analytics, and embedded services
Our websites use cookies and similar technologies for functionality, security, remembering choices, embedded media, analytics, and performance measurement. Some third-party embeds may also use advertising-related identifiers. Necessary cookies can contain identifiers; “necessary” does not mean that no personal information is processed.

The main website uses CookieYes to present Accept All, Reject All, and category preferences. Use the available Cookie Settings or consent-preferences control to review or change your choices. You can also delete or block cookies through your browser. Blocking cookies or embedded services may affect playback, forms, preferences, or other features. Choices may need to be repeated after clearing storage or changing browsers or devices.

The main website’s cookie controls do not necessarily govern AUX Control, mobile apps, or independent third-party platforms. Use the controls offered by the service you are accessing.

Our latest completed consent testing identified instances in which Google Analytics and a SubmitHub cookie persisted after Reject All. These issues remain under ​remediation. The banner should not be understood as a guarantee that every non-essential technology is currently blocked. This disclosure does not replace any consent or opt-out obligation that applies to us.

Technologies used on particular pages include Google Analytics, Weebly/Square, Radio.co, Cloudflare, YouTube, Mixcloud, SiteWit, POWR, WorldTimeBuddy, SubmitHub, and DMCA.com. Loading an embed can disclose an IP address, browser information, and interaction details to its provider. The preference center supplies available cookie details; its inventory may change and may not identify every storage item.

9. Mobile apps
Our official iOS and Android apps connect to streaming and other services. These connections can involve IP addresses, device and network information, listening activity, embedded web content, and diagnostics where enabled. Information entered into a form or website opened through an app is handled according to the relevant service.

Permissions and local storage depend on the app version and enabled features. You can manage available permissions and notifications through your device settings. Uninstalling an app removes it from your device but does not automatically delete records already held by PDX Radio or its providers.

App-store privacy disclosures provide additional information about the relevant build. This policy does not make a blanket claim that our apps or their streaming providers collect no data.

10. Providers and disclosures
We use providers to deliver specific functions. Depending on your interaction:

Weebly/Square, IONOS, and Cloudflare support website, hosting, delivery, or infrastructure functions.
Radio.co provides streaming and related audience information.
Google Workspace supports email, forms, spreadsheets, documents, storage, and operational workflows.
CookieYes supports cookie preferences, and Google Analytics supports website measurement.
Calendly supports scheduling and booking. Stripe processes payments in our paid Calendly booking flows.
Media, social, app-store, and embedded-content services support playback, distribution, and related interactions.
Authorized contractors or support providers may process information needed for their assigned work.

AUX Control also uses WordPress software and associated hosting and integrations. Using that software does not mean that all AUX data is sent to WordPress.com.

Booking records may include payment status, amount, and transaction references. Please do not send full card numbers or security codes to PDX Radio by email or through general intake forms.

We may disclose relevant information to authorized representatives, collaborators, or rights holders when needed to provide a service or investigate a claim; to licensing or reporting organizations as required; to professional advisers; in response to valid legal process; or when reasonably necessary to address fraud, security, safety, or legal claims. A copyright complaint or counter-notice may need to be shared with the affected party as part of the applicable process.

Information may also be transferred in a lawful business transaction, subject to applicable law and privacy commitments. Information you authorize for publication may be disclosed publicly. Providers may act on our instructions for some activities and under their own privacy policies for others.

11. Sale, advertising, and AI use
PDX Radio does not sell personal information for money or rent or lease customer lists.
Some laws define “sale,” “sharing,” or “targeted advertising” more broadly than monetary transactions. Third-party advertising and tracking technologies require separate consideration under those definitions. Our no-sale-for-money statement is not a claim that every third-party data flow falls outside those laws. Use cookie preferences and contact us to request applicable opt-outs.

PDX Radio does not use submitted music, radio drops, or private creator records to build AI-training datasets or train generative models, and does not authorize their sale or licensing for those purposes. We do not use radio drops to create voice clones.

Automated tools used for administration, metadata processing, transcription, or submission review are distinct from training AI models. Such processing, where used, remains subject to the purposes in this policy and the permissions applicable to the material. This policy does not grant permission for AI training. Independent copying or processing by platforms outside our control is governed by their practices and applicable law.

12. Communications and your choices
You can unsubscribe from marketing through the unsubscribe mechanism in the message or by emailing [email protected]. Submitting music or creating an account does not, by itself, subscribe you to marketing.

We may still send necessary submission decisions, account notices, booking confirmations, security messages, or legal communications. We may retain a limited suppression record to respect your marketing opt-out.

You may choose not to provide optional information. Required information may be necessary to review a submission, administer an account, fulfill a booking, or respond to a request.

13. Retention, corrections, and deletion
Retention depends on the information’s purpose, the service relationship, and applicable obligations. Factors include active submissions and accounts, service delivery, licensing and royalty reports, accounting and tax records, permissions, disputes, fraud prevention, and legal holds.

Music identity, credits, airplay history, chart results, and rights evidence may need to remain after an account closes. That does not make all associated personal information permanent or exempt it from privacy law. We assess whether a lawful basis or exception permits retention and whether private contact details can be removed, restricted, or separated from the remaining record.

Corrections may be recorded alongside an earlier entry where an audit history is necessary and lawful. Where deletion is required, historical integrity alone does not override that requirement. Backup copies may persist until overwritten or removed through the applicable backup process, subject to legal requirements.

We will delete, deidentify, or otherwise appropriately dispose of personal information when it is no longer needed for the purposes for which it is lawfully retained. Ask us about the retention or deletion of a particular category through the contact below.

14. Privacy requests and appeals
Email [email protected] with the subject “PRIVACY REQUEST.” Identify the service involved and what you want us to do. You do not need to create an account to submit a request. Do not send passwords, full card details, Social Security numbers, or unnecessary identity documents.

Depending on your location and the law’s applicability, you may have rights to confirm processing, access information, correct inaccuracies, request deletion, obtain a portable copy, learn about disclosures, withdraw consent, restrict or object to processing, or opt out of qualifying sales, targeted advertising, or certain profiling.

We may reasonably verify identity or an authorized agent’s authority before releasing or changing information. We will apply any exceptions, response deadlines, and verification limits required by applicable law. If we deny a request, we will explain the decision as required. To appeal, reply to our response or email the same address with “PRIVACY APPEAL” and the request reference. You may also complain to the appropriate privacy regulator or attorney general.

Where the Oregon Consumer Privacy Act applies, Oregon consumers have the rights and protections it provides, including applicable third-party disclosure information, appeals, and authorized-agent requests. We will honor legally applicable universal opt-out signals, including qualifying Global Privacy Control signals, where required. Browser signals and cookie preferences are distinct mechanisms; you may also contact us about an opt-out.

We will not unlawfully discriminate against you for exercising privacy rights. We also consider privacy requests where a particular statutory right does not apply. Nothing in this policy limits rights provided by law.

15. Security
Security measures vary across services and providers. No website, account, transmission, or storage system can be guaranteed completely secure. Protect your login credentials and notify us if you suspect unauthorized access or an information-security issue.

We evaluate reported or suspected incidents and take action appropriate to their nature and scope. When an incident requires notification, we will notify affected people or authorities in accordance with applicable law.

16. International processing
PDX Radio operates from the United States. Information may be processed in the United States and other countries where our providers operate. Privacy laws may differ from those in your location.

Where applicable law requires a lawful processing basis or safeguards for international transfers, those requirements apply. Depending on the activity, relevant bases may include providing a requested service, legal obligations, consent, or legitimate interests subject to applicable protections. Contact us for information about a particular service or transfer. Using our services does not, by itself, constitute consent to a transfer or processing activity that requires separate consent.

17. Changes
We may update this policy as our services or practices change. The version published on our official website will show its last-updated date. We will provide additional notice or obtain consent for material changes where required by law.
This policy explains our practices; it does not treat continued browsing as consent to every processing activity described here.
