PDX RADIO INTERVIEW BOOKING TERMS

These Interview Booking Terms (“Interview Terms”) govern interviews, interview-plus-performance sessions, and invited/no-fee interviews provided by Pretty Dope Xperience™ / PDX Radio™ (“PDX Radio,” “PDX,” “we,” “us,” or “our”). By booking an interview, accepting an invitation and scheduling a session, or checking the required acceptance box in Calendly, the person making the booking agrees to these Interview Terms. The interview guest must also complete any required interview intake and production-permission acknowledgments before the session.
These Interview Terms supplement PDX Radio’s general Terms & Conditions, Privacy Policy, Refund Policy, and any package-specific terms shown at booking. If a written package description or separate written agreement directly conflicts with these Interview Terms, the more specific written booking term controls for that booking.
1. ELIGIBILITY AND 18+ REQUIREMENT
PDX Radio interviews are for adults. Every person being interviewed or participating as an on-camera/on-mic guest must be at least 18 years old. A person booking on behalf of another guest represents that the guest is also at least 18 years old and that the booker is authorized to arrange the appearance.
PDX Radio may cancel or refuse a booking if the age requirement is not met or if age or authority to arrange the appearance has been materially misrepresented.
2. BOOKING, RETAINER, AND PAYMENT
All interviews must be scheduled in advance through an approved PDX Radio booking method unless PDX Radio agrees otherwise in writing.
For paid interview bookings, the non-refundable booking retainer shown at the time of booking is required to reserve the session. Unless the booking page states otherwise, the retainer is credited toward the total interview price.
Any remaining balance is due on or before the scheduled session time unless PDX Radio has agreed to another payment arrangement in writing. PDX Radio may decline to begin or continue a paid session when required payment has not been received.
Prices, package inclusions, session length, and add-ons are those shown or confirmed at the time of booking.
Invited or no-fee interviews do not require payment unless a separate paid service or add-on is requested and accepted.
3. CANCELLATION AND RESCHEDULING
A guest who needs to cancel or reschedule must notify PDX Radio at least 24 hours before the scheduled session start time.
For paid bookings, cancellations or rescheduling requests made less than 24 hours before the scheduled start time may result in forfeiture of the booking retainer. A new retainer may be required to reserve a replacement date.
A no-call/no-show forfeits the booking retainer and is not entitled to a refund. Rebooking after a no-show is subject to PDX Radio approval and may require a new retainer.
For invited or no-fee interviews, the same 24-hour notice expectation applies. Repeated late cancellations, repeated rescheduling, or no-shows may affect eligibility for future bookings.
PDX Radio may make reasonable exceptions for emergencies or extraordinary circumstances at its discretion. An exception in one situation does not change the policy for future bookings.
4. PDX RADIO CANCELLATIONS OR SCHEDULE CHANGES
PDX Radio may reschedule a session when necessary because of illness, equipment failure, power or internet interruption, safety concerns, studio conditions, platform outages, or other operational circumstances.
If PDX Radio cancels a paid service for reasons not caused by the guest and cannot reasonably provide a replacement session, PDX Radio will refund amounts paid for the undelivered service. This does not apply when cancellation results from the guest’s nonpayment, policy violation, misconduct, misrepresentation, rights problem, or failure to meet booking requirements.
5. ARRIVAL, ATTENDANCE, AND SESSION TIME
Guests must arrive or join on time and ready to begin. Late arrival does not automatically extend the scheduled end time and may reduce interview, setup, sound-check, or performance time.
For in-studio bookings, PDX Radio may request early arrival for setup or sound check. For online bookings, the guest should join early enough to confirm audio, video, and connection quality.
Substantial lateness may require rescheduling or cancellation depending on the remaining time and production requirements.
6. INTERVIEW PREPARATION AND INTAKE
Guests must provide the information and production assets reasonably requested by PDX Radio. This may include interview focus, project/release/event information, EPK materials, high-resolution visual assets, logos, an intro background video or visualizer, and a featured-track title and link.
PDX Radio may use information already available through its existing artist or guest records to reduce duplicate data entry.
Incomplete, inaccessible, inaccurate, or late materials may affect preparation, production quality, editing, deliverables, or posting timelines.
7. ONLINE INTERVIEW TECHNICAL REQUIREMENTS
For online interviews, the guest is responsible for a stable internet connection, a quiet environment, and equipment suitable for usable audio and video. Headphones or earbuds and a quality microphone are strongly recommended when available.
Guest-side connection, device, browser, microphone, camera, lighting, or environmental problems may reduce usable recording time or production quality. Guest-side technical problems do not automatically create a right to a refund or free replacement session.
If a technical problem makes the session unusable, PDX Radio may offer a reschedule when reasonable.
8. PROFESSIONAL CONDUCT AND SAFETY
PDX Radio interviews are professional media-production sessions. Guests and approved attendees must behave respectfully and must not engage in harassment, threats, discriminatory abuse, violence, dangerous conduct, intentional disruption, or intoxication that materially interferes with the session.
PDX Radio is an adult-oriented platform and interviews may contain explicit language or mature subject matter. The 18+ policy does not excuse conduct that threatens safety, interferes with production, violates law, or violates applicable third-party platform rules.
PDX Radio may pause, end, cancel, or refuse a session when conduct or conditions materially interfere with production, safety, or the integrity of the workspace or platform.
9. ADDITIONAL GUESTS AND ATTENDEES
Additional performers, collaborators, managers, publicists, entourage members, or support persons must be approved in advance when their presence affects studio capacity, recording, performance, or production.
Approved additional participants must follow these Interview Terms and any applicable studio rules. PDX Radio may refuse entry or participation to unapproved or disruptive attendees.
10. RECORDING CONSENT AND MEDIA PERMISSION
Interviews may involve audio recording, video recording, photography, livestreaming, screenshots, still-image capture, or other media production. By participating, the guest knowingly consents to that recording and production process.
Unless otherwise agreed in writing, the guest grants PDX Radio a non-exclusive, worldwide, royalty-free permission to use the guest’s professional name, voice, likeness, statements, interview footage, performance footage, and authorized supplied materials as reasonably necessary to produce, edit, publish, display, distribute, archive, excerpt, and promote the interview and related PDX Radio content.
This permission includes reasonable creation and use of edited interviews, clips, excerpts, shorts, reels, teasers, thumbnails, captions, graphics, still images, promotional posts, audio excerpts, and platform-specific versions.
This permission does not transfer ownership of the guest’s pre-existing music, photographs, logos, trademarks, EPK materials, videos, or other intellectual property.
Unless separately agreed in writing, no additional appearance fee, royalty, or other compensation is owed to the guest for PDX Radio’s authorized use of the interview recording or promotional excerpts created from it.
11. SUPPLIED ASSETS, MUSIC, AND RIGHTS CLEARANCE
The guest represents that they own, control, or have sufficient permission to provide and authorize PDX Radio to use every photo, video, logo, EPK item, graphic, music track, recording, performance element, or other asset supplied for the interview.
If the guest supplies a featured track or master recording for use in interview production, the guest represents that they have authority to authorize the requested use of the sound recording and any underlying musical composition or have secured any permissions necessary for that use.
PDX Radio may decline to use supplied material when ownership, authorization, clearance, quality, accessibility, or suitability is uncertain.
The guest is responsible for claims or disputes arising from unauthorized or uncleared materials the guest supplied or directed PDX Radio to use, except to the extent a claim results from PDX Radio’s use outside the permission granted by the guest.
12. FEATURED TRACKS AND AIRPLAY ARE SEPARATE
Providing a track through the Interview Guest Intake is for interview, editing, performance-reference, or promotional-production purposes only.
An interview booking, payment for an interview, or provision of a track does not purchase, guarantee, or automatically create PDX Radio airplay, rotation, chart eligibility, listener-request placement, playlist inclusion, or other music-programming consideration.
Any music submitted for regular PDX Radio airplay consideration must follow PDX Radio’s separate music-submission process and policies.
13. LIVE PERFORMANCE SESSIONS
When an interview package includes a live performance, the performance becomes part of the recorded interview production and is subject to the same recording, rights, conduct, and media-use terms.
The guest must arrive prepared to perform the agreed song. PDX Radio may coordinate any necessary technical details separately. PDX Radio is not required to provide equipment, files, backing tracks, instruments, or production arrangements that were not included in the booked package or separately agreed in advance.
PDX Radio may pause or stop a performance because of safety, technical, rights-clearance, or production concerns.
14. EDITING, CREATIVE CONTROL, AND PUBLICATION
PDX Radio controls its production workflow and retains reasonable editorial and creative discretion over editing, sequencing, clips, graphics, captions, thumbnails, branding, formatting, platform versions, publication timing, and promotional use.
The guest is not entitled to direct the final edit or approve every clip, graphic, caption, or posting unless PDX Radio agrees to an approval process in writing.
PDX Radio will not intentionally edit a guest’s statements in a manner designed to materially fabricate or reverse the meaning of what the guest actually said.
PDX Radio is not required to use every asset, statement, song, performance segment, or piece of footage captured or supplied.
15. DELIVERABLES, REVISIONS, AND SOURCE FILES
The booked package description controls what deliverables are included. Additional edits, revisions, alternate cuts, rush work, overtime, custom graphics, extended production, or other add-ons may require additional fees.
Turnaround or posting estimates are estimates unless PDX Radio expressly guarantees a deadline in writing.
Raw footage, project files, editable graphics, source files, unused recordings, and other production materials are not included unless the booking package or a separate written agreement specifically says they are included.
When PDX Radio provides a final edited interview asset to the guest for sharing, the guest may repost or share that final asset for their own lawful personal, artist, professional, or promotional use. PDX Radio branding or attribution contained in the delivered asset should not be removed or altered in a way that falsely implies a different source or endorsement.
16. NO GUARANTEED OUTCOMES
PDX Radio does not guarantee that an interview will produce any specific number of views, streams, followers, sales, bookings, press mentions, sponsorships, chart results, airplay results, audience growth, revenue, or other commercial outcome.
A paid interview is payment for the booked media-production service and included deliverables—not payment for a guaranteed audience result or music-programming decision.
17. REFUNDS AND SERVICE COMPLETION
Booking retainers for paid interviews are non-refundable.
Except where required by law or expressly stated otherwise, fees for services already started, performed, delivered, or missed because of the guest are not refundable.
If an issue outside the guest’s control prevents PDX Radio from delivering a paid service, PDX Radio may correct the problem, reschedule the service, provide an equivalent remedy, or refund the affected undelivered portion as appropriate.
18. PRIVACY AND BOOKING RECORDS
PDX Radio may collect and retain booking information, contact information, intake responses, permissions, supplied assets, and production records reasonably necessary to schedule, prepare, produce, document, and administer the interview.
Personal information is handled under PDX Radio’s applicable Privacy Policy. Public interview content and materials intentionally authorized for publication are not treated as private booking information once published.
19. REFUSAL OR TERMINATION OF SERVICE
PDX Radio may refuse, suspend, or end a booking because of nonpayment, fraud, material misrepresentation, safety concerns, rights-clearance problems, harassment, repeated unprofessional conduct, policy violations, misuse of the platform, or conduct that materially threatens PDX Radio’s people, guests, equipment, workspace, brand integrity, or operations.
When termination results from the guest’s breach or misconduct, a refund is not guaranteed.
20. ELECTRONIC ACCEPTANCE
Checking a required acceptance box, completing the Calendly booking process, or otherwise electronically accepting these Interview Terms constitutes the guest’s or booker’s electronic assent to the terms presented at the time of booking.
PDX Radio may retain the booking record, checkbox responses, confirmation records, and related electronic records as evidence of the agreement.
21. GOVERNING TERMS, UPDATES, AND SEVERABILITY
The version of these Interview Terms in effect when the booking is made applies to that booking unless the parties later agree to a change in writing.
PDX Radio may update these Interview Terms for future bookings. Changes do not retroactively alter a completed booking agreement unless required by law or agreed by the parties.
These Interview Terms are governed by applicable Oregon law, subject to any non-waivable law that applies to the guest or transaction. If any provision is found unenforceable, the remaining provisions remain in effect to the fullest extent permitted by law.
22. ENTIRE INTERVIEW BOOKING AGREEMENT
For an interview booking, the applicable package description, these Interview Terms, PDX Radio’s incorporated policies, the guest’s intake/permission acknowledgments, and any specific written agreement between PDX Radio and the guest make up the booking agreement.
If there is a direct conflict, a specifically negotiated written agreement for that booking controls over these standard Interview Terms.
