PDX Radio accepts music submissions from independent artists, producers, labels, managers, and other authorized rights holders for possible review, rotation, feature placement, interviews, chart consideration, and related promotional opportunities across the PDX Radio platform.
Submitting music to PDX Radio does not guarantee airplay, rotation, chart placement, interview coverage, feature placement, playlist inclusion, listener request availability, or any other promotional outcome. All submissions are reviewed at PDX Radio’s sole discretion.
By submitting music to PDX Radio, the submitter agrees to the terms of this policy.
1. Purpose of This Policy
This policy exists to protect the artist, protect the rights attached to the music, protect the accuracy of metadata and reporting, and protect PDX Radio from accepting unauthorized, incomplete, misleading, or legally risky submissions.
PDX Radio is committed to supporting independent music, but support does not mean operating loose. Every track must be tied to a real person, a real point of contact, and clear authority to submit it.
2. Who May Submit Music
Music may be submitted only by one of the following:
the recording artist
a producer or creator with authority to submit
a manager or authorized representative
a label or distributor with authority to submit
a rights holder or rights administrator
a person or entity operating under a valid direct agreement with PDX Radio
If the person submitting the music is not the artist or copyright owner, they must have actual authority to act on behalf of the relevant rights holder(s).
PDX Radio may request proof of authority at any time.
3. Eligibility for Submission
To be eligible for consideration, a submission must meet all applicable requirements in this policy, including identity verification, rights confirmation, and required metadata.
PDX Radio may accept a track for review before all release data is complete, but PDX Radio may refuse to:
add the track to station rotation
make the track available for listener requests
feature the track publicly
include the track in charts, playlists, or editorial features
maintain the track in active use
until required information has been fully provided and verified.
Incomplete submissions may be placed on hold, returned for correction, or declined.
4. Creator Profile and Submitter Verification
A full creator profile is not always required just to send music in for review. However, submitter identification and contact verification are required.
At minimum, PDX Radio may require:
legal name of submitter
public artist name or contributor name
role of submitter
valid email address
phone number or alternate contact method if requested
city, state/region, and country
links that help verify identity or artist presence, such as official website, DSP profile, social media, or EPK
PDX Radio may require a more complete creator profile before approving a track for:
recurring or long-term rotation
chart eligibility
feature placement
interviews
artist spotlight coverage
repeated or ongoing submissions
ecosystem or platform onboarding
If the identity of the submitter cannot be reasonably verified, the submission may be declined.
5. Required Submission Information
Each submission must include enough information for PDX Radio to identify the recording, verify the parties involved, and determine whether the track can be reviewed, logged, and possibly used.

PDX Radio reserves the right to ask for additional information before approving any submission.
6. Audio File and Asset Standards
PDX Radio may reject tracks that do not meet reasonable technical or presentation standards.

High-quality MP3 may be accepted for review purposes if needed
Recommended Technical Standard
stereo mix
properly mastered or broadcast-ready where applicable
no severe clipping, distortion, corruption, or broken playback

File Naming
Files should be named clearly and professionally, for example:

Explicit Content
If a track contains explicit lyrics or content, it must be identified accurately.
PDX Radio may request:
an explicit version
a clean version
a radio edit
PDX Radio may refuse to air a track if the content is mislabeled or if no suitable broadcast version is available for the intended use.
Artwork and Supporting Assets
Where relevant, PDX Radio may also request:
cover artwork
artist photo
short bio
social media links
press links
release notes
credits
These are not always required for review, but may be required for editorial support or promotional use.
7. ISRC and Metadata Requirements
PDX Radio places a high priority on accurate metadata.
An ISRC is strongly preferred, and in many cases may be required before a recording is approved for active rotation, request systems, charts, reporting-related workflows, or long-term catalog use.
If an ISRC is not yet available, the track may still be reviewed, but PDX Radio may hold the submission until adequate identifying and rights information has been supplied.
At minimum, PDX Radio may require enough metadata to clearly identify the recording and distinguish it from other recordings.
PDX Radio may refuse to place music into active use where:
the recording cannot be reliably identified
the track title or artist credits are inconsistent
ownership or authority is unclear
the metadata is obviously incomplete, conflicting, or inaccurate
Metadata matters because bad metadata creates bad reporting, bad crediting, bad royalty tracking, and bad recordkeeping. That is a mess PDX Radio is not required to inherit.
8. Rights, Ownership, and Authority Warranties
By submitting music to PDX Radio, the submitter represents and warrants that:
they have full authority to submit the recording;
they have the right to grant PDX Radio permission to review, store, encode, publicly perform, and promote the submission as described in this policy;
the submission does not infringe any copyright, trademark, publicity, privacy, contract, or other rights of any third party;
all samples, interpolations, beats, loops, third-party vocals, instrumentals, and other third-party content have been properly cleared, licensed, or otherwise authorized;
all contributor splits and ownership claims are either finalized or submitted in good faith by an authorized party;
the information provided is accurate to the best of the submitter’s knowledge.
If any of the above is false, misleading, disputed, or incomplete, PDX Radio may reject, remove, suspend, or hold the submission without liability.
9. Direct Agreements
PDX Radio may accept a signed direct agreement in place of some standard submission steps, but only if the agreement clearly covers the necessary rights and information.
A direct agreement must be sufficient, in PDX Radio’s judgment, to establish:
the identity of the authorized parties
the specific recording(s) covered
ownership or control of the recording(s)
the rights granted to PDX Radio
the scope of use
term and revocation terms, if applicable
contact information
credits and metadata sufficient for identification
signature of an authorized party
Even where a direct agreement is provided, PDX Radio may still require:
accurate track metadata
correct credit information
audio assets in acceptable format
explicit/clean labeling
release details
supporting verification
A direct agreement does not override technical requirements, identification requirements, or PDX Radio’s right to reject a submission.
10. License Granted to PDX Radio
By submitting music to PDX Radio, the submitter grants PDX Radio a non-exclusive, revocable, worldwide license to:
receive and review the submission
store and archive submitted files and related metadata
encode or convert the file into technical formats needed for station use
publicly perform the recording through PDX Radio’s non-interactive digital radio service and related station channels
display track titles, artist names, credits, artwork, and short promotional descriptions
use brief excerpts, artwork, names, and approved artist materials for station promotion, social posts, playlists, charts, interviews, features, and editorial content tied to the submission
maintain internal records, logs, and proof of submission for compliance and operational purposes
This license is limited to uses reasonably related to station review, airplay, editorial support, platform presentation, and associated promotion.
Ownership is not transferred to PDX Radio.
11. No Payment for Submission / No Pay-to-Play
PDX Radio does not guarantee acceptance in exchange for a submission.
Submitting music does not buy airplay.
Unless separately agreed in writing, submission to PDX Radio is:
free to submit
non-exclusive
discretionary
not a promise of promotion, spins, royalties, or campaign support
PDX Radio may offer separate services, promotional opportunities, editorial opportunities, creator support services, or project-based agreements, but those are separate from ordinary music submission unless clearly stated otherwise in writing.
12. Review and Acceptance Discretion
PDX Radio reserves sole discretion to determine whether any submission will be:
reviewed
approved
declined
placed on hold
returned for corrections
added to active rotation
made available for requests
included in editorial or chart content
removed later
PDX Radio may decline or remove content for reasons including, but not limited to:
incomplete or inaccurate information
inability to verify identity or authority
unclear ownership
rights disputes
missing required metadata
misleading credits
technical quality issues
duplicate or repetitive submissions
unacceptable file delivery
excessive legal or operational risk
policy violations
PDX Radio is not required to explain every decision.
13. Content Standards and Prohibited Submissions
PDX Radio supports independent art and does not require music to be sanitized into boredom. However, PDX Radio will not knowingly accept or continue to use content that:
infringes copyright or other rights
contains unauthorized samples or stolen beats
impersonates another artist or entity
includes fraudulent credits or false claims of ownership
contains malicious files or deceptive links
is submitted through spam, bots, or mass deceptive tactics
exposes PDX Radio to unreasonable legal or platform risk
PDX Radio may also reject content that materially conflicts with station standards, broadcast needs, or platform safety decisions.
14. AI-Generated or AI-Assisted Content
If any part of the submission was created, altered, or materially enhanced using artificial intelligence tools, that must be disclosed where requested by PDX Radio.
This includes, where applicable:
AI-generated vocals
cloned or synthetic voices
AI-generated instrumentals
AI-generated cover art
AI-assisted songwriting or production elements where material
any use that could create confusion about authorship or identity
PDX Radio may reject submissions that involve:
unauthorized voice or likeness cloning
deceptive presentation of authorship
rights uncertainty caused by AI use
undisclosed synthetic content where disclosure was requested
Transparency matters. Fake paperwork with fake provenance is not a workflow.
15. Samples, Beats, and Third-Party Materials
The submitter is responsible for ensuring that all third-party content used in the recording has been properly authorized.
This includes:
sampled recordings
interpolated compositions
leased beats
exclusive beats
producer agreements
featured performances
sound effects
vocal drops
artwork
trademarks or other protected materials included in assets
PDX Radio may require proof of authorization where appropriate.
If a dispute arises over a beat, sample, feature, ownership claim, or any other rights issue, PDX Radio may immediately remove or suspend the track pending clarification.
16. Credits, Splits, and Contributor Accuracy
Submitters are responsible for making sure all names, roles, and credits are correct.
That includes:
artist names
featured artists
producers
songwriters
legal or public contributor names
versions
release title
ownership shares where applicable
Names should be consistent across all materials. A credit name mismatch creates downstream problems in identification, administration, and royalty tracking.
If PDX Radio discovers that a submission contains materially incorrect credits, the track may be corrected, paused, or removed until the issue is resolved.
17. Listener Requests, Rotation, and Chart Eligibility
Acceptance for review does not automatically make a track eligible for:
listener requests
chart inclusion
playlisting
feature placement
long-term station rotation
PDX Radio may require additional verification, metadata completion, creator information, artwork, clean versions, or rights confirmation before activating a track for any of those uses.
PDX Radio may also limit request availability or chart eligibility based on station rules, operational needs, formatting standards, or internal selection criteria.
18. Minors
If the artist, submitter, or person granting rights is under the age of legal majority in their jurisdiction, submission must be made or authorized by a parent or legal guardian, or by another legally authorized representative where permitted.
PDX Radio may require written proof of that authority.
19. International Submissions
PDX Radio accepts submissions from creators inside and outside the United States.
International submitters remain responsible for ensuring they have the legal right to submit the music and grant the permissions described in this policy.
Any region-specific registrations, collection society affiliations, ownership splits, or rights administration obligations remain the responsibility of the submitter and relevant rights holders.
20. Removal Requests and Rights Disputes
An authorized rights holder may request removal of a track by contacting PDX Radio through an official channel and providing enough information to identify the recording and prove authority.
PDX Radio may request:
legal name
relationship to the recording
track title
artist name
release title if applicable
reason for request
proof of ownership or authority
Removal requests will be reviewed in good faith, but PDX Radio may retain internal records necessary for compliance, logging, dispute resolution, business records, and audit purposes.
If there is a rights dispute, PDX Radio may suspend use of the track until the matter is resolved.
21. Data Handling and Records
PDX Radio may keep records related to music submissions, including:
submitted files
metadata
contact information
submission timestamps
logs of communications
approval or rejection notes
technical processing records
historical airplay or archival records where applicable
PDX Radio will use submission information for operational, promotional, verification, compliance, and business purposes related to the submission and station activity.
Submitters should not provide confidential information that is not necessary for review.
22. False Information and Fraud
Any submission containing false, misleading, incomplete, or fraudulent information may be rejected or removed immediately.
This includes, but is not limited to:
false identity
fake authority
fake ownership
fake credits
fake clearances
manipulated metadata
impersonation
mislabeling explicit content
submitting content without permission
PDX Radio reserves the right to refuse future submissions from repeat offenders or bad-faith submitters.
23. No Liability for Non-Acceptance or Removal
PDX Radio is not liable for any alleged loss, missed opportunity, expected exposure, promotional expectation, or other claimed damages arising from:
rejection of a submission
delayed review
request for corrections
refusal to air a track
removal of a track
suspension due to rights concerns
metadata-related issues caused by the submitter
reliance on inaccurate information provided by the submitter
24. Policy Changes
PDX Radio may update this policy at any time.
The version in effect at the time of submission will apply unless a later version is required for ongoing use, platform integrity, legal compliance, or operational necessity.
Continued submission of music to PDX Radio after policy updates constitutes acceptance of the updated policy.
25. Contact and Submission Channels
Music must be submitted only through PDX Radio’s approved submission methods, which may include:
official submission forms
official submission email addresses
approved portal or intake links
direct written agreement workflows approved by PDX Radio
PDX Radio may ignore, reject, or delete submissions sent through unofficial channels.
26. Final Acknowledgment
By submitting music to PDX Radio, the submitter acknowledges that they:
have read this policy
understand this policy
have authority to submit the music
agree to provide truthful and complete information
understand that submission is not a guarantee of airplay or promotion

Names should be consistent across all materials. A credit name mismatch creates downstream problems in identification, administration, and royalty tracking.
If PDX Radio discovers that a submission contains materially incorrect credits, the track may be corrected, paused, or removed until the issue is resolved.
17. Listener Requests, Rotation, and Chart Eligibility
Acceptance for review does not automatically make a track eligible for:
listener requests
chart inclusion
playlisting
feature placement
long-term station rotation
PDX Radio may require additional verification, metadata completion, creator information, artwork, clean versions, or rights confirmation before activating a track for any of those uses.
PDX Radio may also limit request availability or chart eligibility based on station rules, operational needs, formatting standards, or internal selection criteria.
18. Minors
If the artist, submitter, or person granting rights is under the age of legal majority in their jurisdiction, submission must be made or authorized by a parent or legal guardian, or by another legally authorized representative where permitted.
PDX Radio may require written proof of that authority.
19. International Submissions
PDX Radio accepts submissions from creators inside and outside the United States.
International submitters remain responsible for ensuring they have the legal right to submit the music and grant the permissions described in this policy.
Any region-specific registrations, collection society affiliations, ownership splits, or rights administration obligations remain the responsibility of the submitter and relevant rights holders.
20. Removal Requests and Rights Disputes
An authorized rights holder may request removal of a track by contacting PDX Radio through an official channel and providing enough information to identify the recording and prove authority.
PDX Radio may request:
legal name
relationship to the recording
track title
artist name
release title if applicable
reason for request
proof of ownership or authority
Removal requests will be reviewed in good faith, but PDX Radio may retain internal records necessary for compliance, logging, dispute resolution, business records, and audit purposes.
If there is a rights dispute, PDX Radio may suspend use of the track until the matter is resolved.
21. Data Handling and Records
PDX Radio may keep records related to music submissions, including:
submitted files
metadata
contact information
submission timestamps
logs of communications
approval or rejection notes
technical processing records
historical airplay or archival records where applicable
PDX Radio will use submission information for operational, promotional, verification, compliance, and business purposes related to the submission and station activity.
Submitters should not provide confidential information that is not necessary for review.
22. False Information and Fraud
Any submission containing false, misleading, incomplete, or fraudulent information may be rejected or removed immediately.
This includes, but is not limited to:
false identity
fake authority
fake ownership
fake credits
fake clearances
manipulated metadata
impersonation
mislabeling explicit content
submitting content without permission
PDX Radio reserves the right to refuse future submissions from repeat offenders or bad-faith submitters.
23. No Liability for Non-Acceptance or Removal
PDX Radio is not liable for any alleged loss, missed opportunity, expected exposure, promotional expectation, or other claimed damages arising from:
rejection of a submission
delayed review
request for corrections
refusal to air a track
removal of a track
suspension due to rights concerns
metadata-related issues caused by the submitter
reliance on inaccurate information provided by the submitter
24. Policy Changes
PDX Radio may update this policy at any time.
The version in effect at the time of submission will apply unless a later version is required for ongoing use, platform integrity, legal compliance, or operational necessity.
Continued submission of music to PDX Radio after policy updates constitutes acceptance of the updated policy.
25. Contact and Submission Channels
Music must be submitted only through PDX Radio’s approved submission methods, which may include:
official submission forms
official submission email addresses
approved portal or intake links
direct written agreement workflows approved by PDX Radio
PDX Radio may ignore, reject, or delete submissions sent through unofficial channels.
26. Final Acknowledgment
By submitting music to PDX Radio, the submitter acknowledges that they:
have read this policy
understand this policy
have authority to submit the music
agree to provide truthful and complete information
understand that submission is not a guarantee of airplay or promotion
understand that incomplete, risky, disputed, or unverifiable submissions may be held, declined, or removed
